Terms & Conditions

These Terms and Conditions (“Terms”) govern your access to and use of the E2X Education platform, including the web application at hubpanel.e2xhub.cloud, the backend API at api-edudeck.e2xhub.cloud, and the E2X Education mobile applications for Android and iOS (collectively, the “Platform”), operated by E2X Infotech Private Limited (“E2X Infotech”, “we”, “us”, or “our”).

By registering for or using the Platform, you (“School”, “User”, or “you”) agree to these Terms in full. If you are accepting these Terms on behalf of a school or organisation, you represent that you have the authority to bind that organisation to these Terms.

If you do not agree to these Terms, you must not use the Platform.

E2X Education is a school management system (ERP) that provides tools for managing student admissions, attendance, fee collection, examinations, timetables, communication with parents, and related functions. The Platform also includes an AI Voice Agent feature powered by Sarvam AI (speech recognition) and Google Gemini (AI reasoning).

The Platform is intended for use by educational institutions registered in India. Access is provided to designated user roles: School Administrator, Teacher, Student, Parent, and Guard/Gate Staff. Each role has a defined set of permissions within the Platform.

We reserve the right to modify, suspend, or discontinue any part of the Platform at any time with reasonable prior notice where possible.

School Administrators are responsible for creating and managing all user accounts within their school’s instance of the Platform. Each user is responsible for maintaining the confidentiality of their credentials and for all activities that occur under their account.

You agree to: (a) provide accurate and current information; (b) notify us immediately of any suspected unauthorised access to your account; (c) ensure that all users within your school comply with these Terms; and (d) not share login credentials between multiple individuals.

We are not liable for any loss or damage arising from your failure to comply with the above obligations.

When you enter data about students, parents, teachers, or staff into the Platform, you (“Data Controller”) are responsible for: (a) having a lawful basis for processing that data; (b) providing appropriate notices to data subjects; (c) obtaining required consents, including for minors; and (d) complying with the Digital Personal Data Protection Act, 2023 (DPDP Act) and other applicable Indian data protection laws.

E2X Infotech processes school data as a data processor acting on your instructions. Our data processing practices are described in our Privacy Policy.

You represent and warrant that you have all necessary rights and consents to upload any data (including student photographs, government identification numbers, and contact details) to the Platform.

We take reasonable technical and organisational measures to protect school data. However, you acknowledge that no system is completely secure and that we cannot guarantee absolute security.

The AI Voice Agent feature (“Voice Agent”) uses third-party AI services — Sarvam AI for speech-to-text and Google Gemini for natural language reasoning — to respond to spoken queries about your school’s data.

You acknowledge and agree that:

• The Voice Agent is a tool to assist authorised school staff; it is not a substitute for human judgment in important decisions
• Responses from the Voice Agent are generated by AI and may occasionally be inaccurate or incomplete; always verify critical information through the main Platform interface
• Audio queries are transmitted to Sarvam AI for transcription; by using the Voice Agent, you consent to this transmission
• Text transcripts of queries may be processed by Google Gemini; by using the Voice Agent, you consent to this processing
• You are responsible for ensuring that school staff who use the Voice Agent are authorised to access the data it can retrieve
• Microphone access must be granted by the user on the mobile device; we do not record audio in the background

Platform subscription fees: Access to the Platform is subject to a subscription fee agreed between E2X Infotech and the school. Payment terms, pricing, and renewal conditions are specified in the subscription agreement or order form.

Student fee collection: The Platform enables schools to collect student fees online via Razorpay. By using this feature, you agree to Razorpay’s terms of service. E2X Infotech is not a party to the payment transaction between the school and the parent; we merely facilitate the technical integration.

Refunds: Our refund policy for subscription payments is described in our Refund and Cancellation Policy. Refunds for student fee payments are the responsibility of the school and are processed through Razorpay’s refund mechanism.

All prices are in Indian Rupees (INR) and are exclusive of applicable taxes (GST) unless stated otherwise.

You agree not to use the Platform to:

• Violate any applicable law or regulation, including the DPDP Act and IT Act, 2000
• Upload or distribute malicious code, viruses, or any software intended to damage or interfere with the Platform
• Attempt to gain unauthorised access to other schools’ data, or to our backend systems
• Reverse engineer, decompile, or disassemble any part of the Platform
• Use the Platform to send spam, unsolicited commercial messages, or phishing communications
• Misrepresent your identity or impersonate any person or organisation
• Enter false or fabricated student or academic records
• Share your account credentials with unauthorised parties
• Use automated bots, scrapers, or scripts to access the Platform without our written permission

We reserve the right to suspend or terminate accounts involved in prohibited activities without prior notice.

The Platform, including its software, design, logos, and documentation, is owned by E2X Infotech Private Limited and is protected by Indian copyright law, trademark law, and other applicable intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to access and use the Platform solely for your school’s internal administrative purposes.

You retain ownership of all data you enter into the Platform (“School Data”). By entering data, you grant E2X Infotech a limited licence to process that data solely to provide the Platform services to you.

You may not copy, modify, distribute, sell, or lease any part of the Platform or its content without our prior written consent.

The Platform is provided “as is” and “as available”. To the fullest extent permitted by law, E2X Infotech disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.

We do not warrant that the Platform will be uninterrupted, error-free, or free from viruses or other harmful components. We are not responsible for the accuracy of AI-generated responses from the Voice Agent. We are not responsible for data loss caused by your failure to maintain adequate backups.

The Platform is designed to assist school administration; it is not a substitute for qualified educational, legal, or financial advice.

To the maximum extent permitted by applicable law, E2X Infotech shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of revenue, or loss of goodwill, arising from your use of or inability to use the Platform.

Our total aggregate liability to you for any claim arising from these Terms or the Platform shall not exceed the amounts paid by your school to E2X Infotech in the twelve (12) months preceding the claim.

Either party may terminate the subscription by providing the notice period specified in the subscription agreement. Upon termination, your access to the Platform will be suspended.

Following termination, your School Data will be retained for up to 90 days during which you may request a data export. After this period, data will be securely deleted, except where retention is legally required.

We may immediately suspend or terminate your access if: (a) you breach these Terms; (b) we are required to do so by law; or (c) your use poses a security risk to the Platform or other users.

These Terms are governed by the laws of India. Any dispute arising from these Terms or the Platform shall be subject to the exclusive jurisdiction of the courts in Noida, Uttar Pradesh, India.

Before initiating formal proceedings, we encourage you to contact us at e2xinfotech@gmail.com to attempt to resolve the dispute informally.

We reserve the right to update these Terms at any time. Material changes will be communicated to school administrators via email or in-app notification at least 14 days before they take effect. Continued use of the Platform after the effective date constitutes acceptance of the updated Terms.
